Seeking Intake Coordinator
Overview:
Wellness Embodied is an outpatient, trauma-focused, spiritually grounded psychotherapy group and wellness center in New Paltz, NY rooted in a social justice and trauma informed framework that focuses on the healthy functioning of the organization as a platform for the transformative healing work that happens in the treatment room. We intend to be a safe space for all queer, racial, gendered, ability, religious and age groups to find both affirming care and practitioners that deeply understand, witness, and reflect your experiences as well. The clinicians and administrators that thrive in this environment have an ongoing desire and commitment to learn and grow intellectually and personally in the therapeutic field.
The position of Intake Coordinator asks the staff member to have a level of sensitivity, privacy, professionalism, kindness, patience, and care as the first contact with those seeking care and treatment within our psychotherapy practice.
Primary responsibilities include:
- Being the first line of contact with new and potential clients seeking care at Wellness Embodied through coverage of our main phone line and email accounts.
- Speaking with potential new clients and conducting initial intake screenings to connect new clients with compatible providers that have availability in the practice or within the larger community.
- Schedule all new intake appointments and ensure intake documents are completed in advance of the first appointment through our electronic health records system.
- Verify insurance for all new clients through various insurance portals.
- Onboarding and maintaining of insurance panel credentialing for all therapists and the group at large.
- Track appointment availability for new clients with all clinical providers.
- Oversee client numbers for all providers and ensure schedules remain full. Track expected number of clients for each provider and report to Clinical Director when they are not meeting expectations.
- Maintain up to date provider documentation (licensure, credentials and liability insurance).
- Works closely with the Administrative Manager, Insurance Specialist, and Clinical Director to support the administrative flow of Wellness Embodied.
- Perform other duties as assigned.
Skills Needed for Position:
- Strong written and verbal communication
- Technical competence, notably with Google Drive and other administrative platforms like Microsoft office, Adobe, and electronic health record systems.
- Excellent customer service
- Highly organized
- Ability to maintain and protect confidential information
- Team player in a tight knit and communicative environment
Qualifications:
- Applicants must have administrative experience in a busy office setting.
- Should be well versed in issues related to race, gender identity and other areas of marginalization that make up our clientele.
- Highly organized with strong attention to details.
- Proficiency in Google Office Applications, Drive, Gmail, Docs and Sheets, Google Suites, and familiarity with electronic health record systems
Work Environment:
Our building is in New Paltz, NY on Main Street. It is a lovely, quiet and comfortable environment. Office space is available for all clinicians and administrators.
Compensation:
All employees of Wellness Embodied are W2 employees that get paid on a bi-weekly basis.
Payment is a competitive hourly rate. Details will be described in the interview process.

Education:
Must be legally eligible to work in NY State and have an associates or bachelors degree or work experience that demonstrates a strong understanding of the skill set needed
